Privacy Policy for Virtual Conferences

Your Privacy is important to Berenberg.

Joh. Berenberg, Gossler & Co. KG (“Berenberg”) attaches great importance to protecting personal data and maintaining privacy. This policy describes the types of personal data we may collect from you when you participate in our online conferences and events (“Virtual Event”), the purposes for which we use the data, the circumstances in which we may share the data and the steps that we take to safeguard the data to protect your privacy in accordance with the General Data Protection Regulation (“GDPR”).

2. The processing of your personal data

If you participate in our Virtual Events, we will only collect your personal data for the purpose of the respective Virtual Event. To protect online activities, we encrypt web communications and require our online service providers to comply with appropriate security standards.

Registering for a Virtual Event via letter, e-Mail or other link

We will inform you about our Virtual Events via email, QR code or other link. You may register for such a Virtual responding to our invitation accordingly. The data we process to conduct this registration is generally your e-mail address, your first name, and last name. The legal basis of your attendance is your consent pursuant to Article 6 (1) lit. a) GDPR and can be withdrawn for the future at any time. The withdrawal of consent does not affect the lawfulness of processing based on consent before such withdrawal. Please understand that we will be unable to continue your registration from this point onwards. If you wish to withdraw your consent to an individual Virtual Event or to receive information on services, products and specialist topics, you can do so at any time by sending an email to event@berenberg.com.

Processing Your Data during a Virtual Event

If you participate in one of our conferences or events virtually by video conferencing or other web conferencing tool (whether through a Berenberg or third party platform), we will use your IP-address to establish a connection and transmit video and audio data of the conference to your device. As we may record and distribute our conference sessions, we will not record your voice or image if you are a guest of the conference. Your questions can be asked via the chat function and will be treated anonymously during the event. Depending on the event, you may also be able to ask your questions in person; you will receive corresponding instructions before the start of the event. For data protection reasons, it is unfortunately not possible for us to record your contributions, but your questions and suggestions will be presented anonymously. The legal basis is Art. 6 (1) lit. f) GDPR, as the processing is technically necessary to establish the data stream and deliver the Virtual Event to you.

Obtaining your feedback

We may use your email address to contact you and collect your personal feedback on the virtual event. If you take part in the survey, your feedback will be stored for one month and then anonymised. The legal basis for this processing is Art. 6 para. 1 lit. a) GDPR.

In some cases, we use Slido to collect your feedback. For this purpose, Slido will process further information when you visit their website (such as IP address, the browser you use to visit the site, the time and date of the visit, the content of the information you provide and the session identifier). Further information on data protection can be found at https://www.slido.com/terms#slido-privacy. In these cases, Berenberg will delete your feedback after one year.

Email notices for events in which you will participate

In some cases where Berenberg participates in a virtual conference or event as an exhibitor, your e-mail address will be collected by the organiser in advance and passed on to us if you have been informed of this and have consented to it. This data will be used by Berenberg exclusively to inform you by e-mail of the key dates of our event and to prepare you for participation. Your data will be deleted immediately after the event; any follow-up discussions will only take place if you express an interest in this. The legal basis for this is overriding legitimate interests in accordance with Art. 6 para. 1 lit. f) GDPR.

3. Recipients of your personal data / third country transfer

For our Virtual Events, we may use a Full-Service Partner to ensure that you can access the conference such as the platform provided by Microsoft Teams, Zoom, BlueJeans, Slido or Cisco Webex.

If we transfer data to countries outside the European Economic Area (‘EEA’), so-called third countries (such as the United Kingdom, Switzerland or the USA), or data to recipients in third countries, this is done in accordance with the special requirements of Art. 44 et seq. GDPR. This can be done, for example, as for the United Kingdom, on the basis of an existing adequacy decision or otherwise on the basis of the agreement of the respectively valid standard contractual clauses of the European Commission.

4. Your rights

In all questions regarding the protection of your privacy, you may contact our Data Protection Officer at any time using the contact information below or direct your message to the main address listed above. Generally; you may be required to supply a valid form of identification as a security precaution to assist us in preventing the unauthorised disclosure of your personal data. We will process your request within reasonable time to both meet legal standards and maintain confidentiality.

  • You are entitled to access any personal data about you processed by Berenberg;
  • You are also entitled to have Berenberg modify or delete any information that you believe is incorrect or out of date;
  • You have the right to have all your personal data deleted where its processing is no longer legally required;
  • You have the right to object the processing of your personal data at any time.
